Weekly

  • Test the purchase flow on staging or with the gateway’s test mode: product, basket, shipping, payment, confirmation. See how to test checkout without real payments.
  • Check recent orders for unusual statuses — many “pending payment” or “failed” orders can signal a gateway problem.
  • Confirm order emails are being sent to customers and to the shop.
  • Review available updates for WooCommerce and its extensions, and schedule them rather than clicking straight away.

When updating

  1. Take a fresh backup, including the database — orders live there.
  2. Read the changelog of WooCommerce and major extensions.
  3. Test on staging where possible.
  4. Run any “database update required” step after a backup.
  5. Check WooCommerce → Status for outdated template overrides.
  6. Test the checkout again afterwards.

Monthly

  • Payment gateway health: check the gateway dashboard for declined payments, webhook errors or account notices.
  • Shipping and tax: confirm rates for your main destinations still calculate correctly.
  • Stock and products: look for products out of stock unexpectedly, or broken variation images.
  • Performance: check the speed of product, basket and checkout pages, especially on mobile.
  • Integrations: accounting, fulfilment, CRM and marketing tools — are orders still arriving?

Quarterly

  • Test a full restore of the store to staging.
  • Review extensions: which are still needed, maintained and licensed.
  • Clean up old sessions, abandoned carts and expired coupons where your setup allows.
  • Review user accounts with shop manager or administrator access.
